Pandle's Mileage Tracker tool helps companies and sole traders to record the miles they travel quickly and easily with Pandle Mobile.

Add the details of vehicles to use with each trip, and enter your journeys manually or use the built-in tracker to capture your route, and effortlessly convert miles into mileage.

Important: Mileage Tracker is currently only available on Pandle Mobile. Download the app from the Apple App Store or Google Play.

What happens in my bookkeeping when I save a trip?

Add a vehicle

Open the Pandle Mobile app, and click the menu icon.

Select 'Mileage' from the menu list.

Select the 'Vehicles' tab.

Select 'Add New'.

Enter a name for your vehicle. This is the name that it will display as in Pandle. Then enter the vehicle's registration, and use the dropdown menu to select the vehicle type so that Pandle uses the correct mileage rate for your vehicle.

Click the 'Save' icon to save your vehicle.

View the 'Vehicles' tab to see your saved vehicles and make any changes. Select an entry to open the editing screen.

Record a journey by tracking your mileage

Open the Pandle Mobile app, and click the menu icon.

Then select 'Mileage'.

Select the 'Trips' tab, and then select 'Add New'.

Select 'Start tracking mileage' from the dropdown menu.

Your phone might prompt you to share your location settings with Pandle. You will need to enable this in order for Pandle to track your route.

  • Select the vehicle you want to use for your trip. If you only have the details of one vehicle entered, Pandle will use this as the default.

  • Select the account of the person who is making the trip. If you only have an account for one person, Pandle will use this as the default.

Once you're ready, select 'Start Tracking'.

Once your vehicle is securely stopped, and it is safe to do so, select 'Stop tracking'.

Pandle will show an alert to confirm your end location is correct, and you wish to stop tracking. Select 'Continue Tracking' to resume your journey, or 'End Trip'.

Review the details of your trip. You can amend the date and time, the vehicle selected for the journey, and the account it relates to by selecting the entry, and using the editor to make any changes. Click the 'Save' icon once you're ready.

Your saved route will be saved to your 'Trips' screen, which will display the total distance and mileage, and the calculated amount being claimed.

Enter a trip manually

Open the Pandle Mobile app, and click the menu icon.

Then select 'Mileage'.

Select the 'Trips' tab, and then select 'Add New'.

Select 'Enter trip manually' from the dropdown menu.

Enter the start location of your journey.

You can either choose from the list of previously used addresses, or select 'Add new location'.

Enter a street name or address and select the search icon, and then select the correct option from the list of search results.

Enter the end location of your journey. You can either choose from the list of previously used addresses, or add a new location to use.

Review the details of your trip. You can amend the date and time, the vehicle selected for the journey, and the account it relates to by selecting the entry, and using the editor to make any changes. Click the 'Save' icon once you're ready.

Your saved route will be saved to your 'Trips' screen, which will display the total distance and mileage, and the calculated amount being claimed.

View your trips

Open the Pandle Mobile app, and click the menu icon.

Then select 'Mileage'.

Select the 'Trips' tab to view a list of your trips. Use the search bar to search for a particular journey.

To delete a journey press and hold on a trip until the confirmation message 'Are you sure you want to delete this trip?' appears. Press 'OK' to delete, or 'Cancel' to return to the Trips screen.

What happens in my bookkeeping when I save a trip?

Once you save a trip, Pandle will automatically create an adjustment in your bookkeeping.

This adjustment debits your mileage claim from the Travel category, and credits it to your Director’s Loan Account, or to your ‘Capital Introduced’ category if you’re a sole trader.

View adjustments in Pandle's web app by clicking ‘Accounting’ in Pandle’s navigation, and selecting ‘View Transactions’ to search for the adjustment.

If you accidentally selected the wrong person when you saved the trip, you can also correct your records by editing the adjustment's category to a different director’s account.
