Before running your VAT return in Pandle, it's important to check that all of your bookkeeping is up-to-date and correct, up to and including the end of the VAT quarter.

Once you're ready, click 'Reports' in the navigation bar, and select 'VAT Returns'.

Then on the VAT Returns screen, click 'Add New VAT Return'.

A pop-up window will appear, with the start and end dates of your VAT return populated.

If this is your first VAT return, the start date will be based on your registration date, so the VAT period might be shorter or longer than usual. Subsequent returns will be quarterly, and Pandle will auto-populate the dates for you.

To avoid submitting a VAT return with invalid dates, Pandle will detect if the VAT return end date is in the future, and automatically set it to the current date.

Confirm the dates, and click 'Create VAT Return'.

Check your VAT calculation

The next screen will show your VAT return calculation. You can see the VAT you charged to customers and the VAT you were charged from suppliers, with the difference being due to HMRC (box 5).

The return also shows the total value of sales and the total value of purchases. You can drill down into the figures of box 1 and 2 by clicking on the magnifying glass icon.

Lock your VAT return

Then click 'Save and Lock'. The box 5 figure (which shows the amount owed to or from HMRC) will now be in the correct category. When you complete your banking, categorise your VAT payment as 'VAT Owed to HMRC'.

Locking your VAT return protects the transactions included in the VAT return from any accidental editing, which helps to avoid errors.

Your VAT return will show as 'Locked', and the 'Date locked' field will show the date that you locked the return. You can reverse this by clicking 'Unlock'.

Submit your VAT return

After locking your VAT return, click 'Submit VAT Return'.

Then in the next screen enter your Government Gateway User ID and Password to complete your submission.

Viewing your completed VAT returns

You can view, edit, and export all previously submitted VAT returns by clicking 'Reports' in the Pandle navigation bar, and selecting 'VAT Returns'.

Your previous VAT returns will appear on the VAT return screen.
