You only need to enter supplier invoices in Pandle if you do not pay your suppliers straight away. For example, if you buy stationery from a shop and pay in-store instantly, you won't need to enter a supplier invoice for this. Instead, you'll process the transaction through your banking.

There are two ways to start a new supplier invoice in Pandle: through the Quick Links menu, or through the 'Suppliers' screen.

To start entering a new supplier invoice using the Quick Links menu, click 'Quick Links' in Pandle's navigation bar, and select 'New Supplier Invoice'.

To start entering a new supplier invoice through the Suppliers menu, click 'Suppliers' in Pandle's navigation bar, and select 'Supplier Invoices'.

Then click 'New Invoice'.

Scroll down to the first blank row to start entering your supplier's invoice data.

What do I need to enter?

Date

The invoice date shown on the supplier invoice. It's sometimes called the document date.

Item

What the invoice is for.

If you use Items, click the 'Item' field and select from the dropdown menu, or search for your item by entering the name into the search box.

If you do not use Items, enter the item name manually.

Project

If you use Projects, use the dropdown menu to assign the invoice to a project.

If you do not use Projects, this column will not appear.

Account

Use the dropdown menu to select a supplier from the list, or click 'Add New'.

Category

If you selected the item from your Items list, this field will be populated automatically. You can overwrite this if needed.

If you do not use Items, click the dropdown menu to select the correct expense category or to search for it.

Inv. Ref.

The invoice reference used by the supplier. Sometimes called an 'invoice number'.

Cur.

The currency of the invoice. You will only be able to edit this if you enable Multiple Currencies in Pandle. Otherwise Pandle will use your default currency.

Price

The unit price per item. If you selected the item from your Items list, this information will populate automatically.

You can overwrite this field if needed. For instance, if the price has changed.

Net

The net amount of the invoice (the amount before VAT is added).

This field will automatically populate once you enter the quantity and unit price, or you can overwrite this if needed.

Tax Code

The Tax Code column will only be visible if your business is VAT registered.

If you selected the item from your Items list, this information will populate automatically, or you can overwrite it if needed.

Click the dropdown menu to select the tax code from the list.

  • ST Standard VAT - 20% VAT

  • RR Reduced Rate - 5% VAT

  • RC Reverse Charge - 0% VAT

  • NV Non VATable - 0%

  • EX VAT Exempt or Zero Rated

Tax

The amount of VAT on the invoice.

Pandle will calculate this automatically using the information you enter for price, quantity, and tax code, or you can overwrite it if needed.

Total

The total amount of the invoice.

Pandle will calculate this automatically using the information you enter for price, quantity, and tax code, or you can overwrite it if needed.

Actions

Click 'Add' to add another line below.

Click 'Remove This Row' to delete this line of information.

Click 'Split Transaction' to split the invoice between multiple categories.

Click 'Attachments' to attach a document or file to this record. For example, a photo of a paper invoice, or upload a document from a supplier email.

Then click 'Save All' to save each new line of information. These will automatically appear in your transactions list.
