What is customer grouping?

There may be times when you invoice a group of customers for the same thing. For instance, if you run a business which provides a fixed service, and you bill clients a retainer fee each month.

Rather than creating a separate invoice for each individual customer, you can create a Customer Group, and then send the entire group an invoice in one go. You can even set up recurring invoices for a Customer Group.

Create a new Customer Group

Click 'Customers' in the Pandle navigation bar, and select 'Customers' from the dropdown menu.

Then click 'New' and select 'Customer Group' from the dropdown menu.

Enter a name for your new Customer Group in the pop-up window, and click 'Save Customer Group'.

A new column will appear on the Customers tab to show you which group (if any) a customer belongs to.

Assign customers to a group

Click 'Customers' in the Pandle navigation bar, and select 'Customers' from the dropdown menu.

Click 'Edit' next to the customer you would like to add to a group.

Under 'Customer Group', click 'Select Customer Group', and choose from the dropdown menu.

Please note: Customers in a Customer Group must all have the same currency setting. It's not possible to combine currencies in Customer Groups.

Invoicing a group of customers

Invoicing a Customer Group follows the same process as creating individual customer invoices.

Instead of selecting a customer from the dropdown menu, click 'Select Group'.

Then choose the group from the dropdown menu using the pop-up window, and click 'Select Customer Group' to confirm.

  • If you leave the invoice due date blank for a Customer Group invoice: Pandle will use the default due date for each individual customer.

  • If you enter a due date for a Customer Group invoice: All invoices created for the group will use this date, regardless of the individual credit terms for each customer in the group.

View invoices created for a Customer Group

Click 'Customers' in the Pandle navigation bar, and select 'Customer Invoices' from the dropdown menu.

Invoices created for a Customer Group will show 'Customer Group Invoice' in the 'Type' column.

Click 'View' to view each invoice in the group.

Edit, delete, copy or send invoices to everyone in the list, or use the tick boxes next to each client to select individuals.

Edit or delete customer groups

Click 'Customers' in the Pandle navigation bar, and select 'Customers' from the dropdown menu.

Click the Customer Group that you wish to edit.

Use the pop up window to edit the group name, or delete the group. Deleting a Customer Group does not delete the customers that are in it, only the group itself.

To protect your data, you are only able to delete groups that have not yet received a group invoice.
