Switching on the quotation function in Pandle

To keep things simple in your Pandle account, Pandle uses dynamic menus. This means you will only see menu options for features which you enable.

To switch on the quotes feature in Pandle, click 'Settings' and select 'Document Settings' from the menu.

Then select the 'Quote Options' tab.

Click the confirmation box next to 'Do you issue quotes?' so that a tick appears.

You can also add default text which will be added to each document if you later convert the quote into an invoice (you will be able to overwrite or delete this whilst creating a new quote).

Set up a Quotes template

Once you enable the Quotes feature in Pandle you will be able to create a template quote, based on the same design as your invoicing. If your invoicing template is already set up, you can skip this step.

Click 'Settings' and select 'Document Settings' from the menu.

Then select the 'Design Options' tab.

Upload your business logo, which will then appear on all quotes and invoices.

You can also select the template you would like to use.

Create and send quotes to customers

There are two ways to start a new quote for work; using the Quick Links menu, or through the 'Customers' menu.

To start a new customer quote through the Quick Links menu, click 'Quick Links' in Pandle's navigation bar, and select 'New Customer Quote' from the menu.

To start a new quote through the 'Customers' menu, click 'Customers' in the navigation bar, and select 'Customer Quotes'.

Then click 'New Quote'.

Enter your quote details into the New Quote entry form. Use the dropdowns to select information already entered into Pandle, such as your customer's details.

Click the 'Attachments' icon to attach documents to your quote, like annotated photos, or a price list of materials you need to buy from a supplier.

Click the 'Add New' icon to enter a description and costs, and to add a new line.

Click 'Save' to open the Save menu.

Gives you further options, such as converting the quote into a PDF, or sending the quote to your customer.

Viewing your quotes

View existing quotes by clicking 'Customers' in the navigation bar, and selecting 'Customer Quotes'.

Search, sort, and filter your quotes

Use the search bar to search and find customer quotes more quickly.

Filter quotes by clicking the filter button, and selecting your search criteria.

To sort the list, click the column header that you would like to sort by, and click the header again the reverse the order.

For instance, click the 'Status' header to sort your quotes according to their current status in Pandle.

Choose how many rows per screen

In Pandle you can choose how many rows of information you see on the Quotes screen. Just click the 'Row Count' button, and select the amount from the menu.

Select which columns to view

Edit the columns that you need to see on the Customers screen, and hide those that you don't.

Click the 'Column Select' button, and select or deselect the columns that you want to see.

Export Customers from Pandle

You can export a list of quotes from Pandle. Click the 'Export' button, and Pandle will automatically download a .CSV file to your device.

Change the status of a quote

Click the selection box next to the quote, or select multiple quotes to change the status at the same time.

Click 'Mark As' to open the dropdown status menu.

Accepted

The client has confirmed the work and wishes to continue according to the quote.

Declined

The client has declined the suggested quote.

Pending

If you change the status by mistake, or if the client has queries.

Edit, copy, attach documents or delete quote

Click 'Edit' under the 'Actions' column next to a quote to make changes.

Click 'Attachments' under the 'Actions' column next to a quote to attach documents or files.

Click 'Manage or View Notes' under the 'Actions' column next to a quote to make notes about this quote. For instance, customer feedback, or a shopping list of supplies.

Click 'More Actions' under the 'Actions' column next to a quote to open the extended menu, where you can:

  • Copy the quote (for instance, if you're quoting for similar work, so that you don't need to enter the information again)

  • Print the quote

  • View the quote as a PDF

  • Email the quote directly to the customer from Pandle

  • Delete the quote from Pandle

Convert a quote to an invoice

Click the selection box next to the quote, or select multiple quotes to change the status at the same time.

Click 'Convert To Invoice'.

The invoice screen will launch, populated with the details from your quote. Use the 'Edit' button to make any changes, or click 'Actions' to send, copy, or view your invoice.
